Position Description
This job is based in St Kilda Rd Melbourne at the head office of Centennial Living Management, a company that manages retirement village communities.
We currently manage 11 retirement villages comprising over 2000 dwellings throughout metro Melbourne and have strategic expansion plans in the pipeline. Centennial Living has a well-regarded, highly experienced executive team and we are driven by a “can do” attitude and collaborative teamwork.

Position title: Office Administrator
Reports to: General Manager Marketing & Community Engagement and General Manager of Finance
Primary Role Objective and Expected Outcomes: Ensure the seamless operation of various administrative and support tasks at head office in St Kilda Rd Melbourne.
What Your Week May Look Like:
- Responsible for the accurate recording of all leads (website, phone, other) in the Excel Enquiry Spreadsheet on a daily basis, and summarising monthly leads.
- Create, update, and maintain records in Centennial Living One Drive and SharePoint databases (data entry)
- Provide general admin assistance to the executive team
- Assist employees with queries regarding technology, mobile phones (liaising with our IT consultant as necessary), stationery, annual leave or other arrangements
- Plan and organise in-house or off site activities such as the office Christmas party, or other celebrations.
- Track stocks of office supplies and place orders with Office Works.
- Answer the main office phone (note there are not a huge number of calls, the majority of calls will be sales leads to be recorded in the Inquiry Register)
- Liaise with Village Managers, Staff, and business suppliers as necessary.
- Greet and welcome office visitors, providing refreshments if required. Maintain the board room so that it presents in a clean and tidy way.
- Respond to sales team queries and requests e.g. for printed materials or how to locate an item on One Drive/SharePoint
- Maintain an inventory of marketing materials keeping everything in the storage room tidy, orderly and well stocked
- Order printing at the direction of the GM of Marketing
- Manage resident gift hamper orders for the sales team
Other Tasks Include:
- Train to be the OH&S representative and Office Fire Warden for Centennial Living
- Liaise with facility management and cleaning suppliers, catering and security services as necessary.
A Bit About You:
- Proficiency in Word, Excel, One Drive, Microsoft Suite.
- Very organised with attention to detail.
- Ability to work independently and collaboratively.
- Ability to initiate action and accept accountability.
