About the Role
An opportunity is now available for a professional, reliable, capable and friendly Office Administrator to join our team. The primary purpose of the role is to implement, manage and co-ordinate the administrative and accounting activities of the business to ensure effective and efficient support to management and the architecture personnel. This includes the co-ordination of day-to-day administrative activities and personnel to ensure the delivery of quality professional services. You will be part of an Administration Team.
This is an opportunity for a full-time, part-time, or shared role.
Your Responsibilities
- Reception duties
- General day-to-day administrative duties
- Administrative duties regarding all architectural projects as required
- Support & provide administrative assistance to Director and Architects
- Preparation of Fee Proposals and Submissions
- Finance & Accounting (including Accounts Payable, Accounts Receivable, Project Accounting, Payroll, Management Reporting, ATO reporting)
- Project Administration (assisting the Senior Architects with project related administration tasks including Contract Administration, Budgeting. Forecasting and preparing reports and letters)
- Human Resources (including preparation and coordination of Employment Agreements, Inductions, Wage Review and processing leave)
- Maintenance of Quality Management System (including undertaking internal audits and developing, implementing and maintaining office protocols, systems and processes)
Your Skills and Experience
- 7-10 years’ experience in a similar role
- Formal Qualifications in Accounting/Bookkeeping advantageous
- Proficient in Xero with recent experience
- Experience in Quality Management particularly ISO 9001:2015 is ideal but not essential
- Professional in appearance
- Strong customer focus
- Proactive
- Highly organised and able to effectively prioritise workload and meet deadlines
- Sharp attention to detail and focus on accuracy
- Advanced computer skills with proficiency in the Microsoft Office suite, particularly Excel
- Able to follow through tasks to completion
- Excellent written and oral communication skills
- Ability to work independently as well as part of a team
- Eagerness to learn new processes and systems
- Ability to learn new tasks quickly and work autonomously
- Self-motivated with the ability to use common sense and initiative
- Excellent time management skills and the ability to multi-task and prioritise
- Experience working with Indesign is an advantage but not essential
Salary package will be negotiated with the successful candidate commensurate with the level of experience.
