The Social Policy Group (SPG) is a national body with specialist expertise in social policy, social and community cohesion, population diversity, gender equality, access and equity, community participation and inclusion, systems’ responsiveness, community outreach and engagement, and digital and multilingual communications. SPG is an umbrella organisation for a number of national bodies and initiatives, including Harmony Alliance: Migrant and Refugee Women for Change, Migration Council Australia, Migrant and Refugee Health Partnership, Centre of Digital Wellbeing, and Judicial Council on Cultural Diversity, among others.
THRIVE Logan
THRIVE Logan harnesses Logan’s rich diversity by connecting communities and partners to enhance economic and social participation, with the aim of enabling all who live, work and visit there to thrive. It’s a three-year project, funded by the Queensland Government’s Department of Treaty, Aboriginal and Torres Strait Islander Partnerships, Communities and the Arts.
About the position
The successful applicant will be required to support the delivery of the THRIVE Logan project within the THRIVE Logan team. The Project Administrator will be responsible for scheduling meetings, recording project progress, and organising events and workshops. They will also be required to manage the mail inbox, newsletter development, social media accounts and support data gathering, and entry related to project reporting.
Primary Responsibilities
- Scheduling regular meetings and recording decisions.
- Assisting managers and program coordinators with planning.
- Ensuring project documentation is up to date and in line with team decisions.
- Breaking projects into smaller tasks and setting time frames, including doing any follow-up required.
- Responding to and escalating stakeholder enquiries, as appropriate.
- Supporting measuring of project performance, including data gathering and input.
- Supporting the reporting to the Queensland government department on project progress.
- Preparing and providing project related documentation to internal teams and key stakeholders.
- Acting as a point of contact for project stakeholders as required by supervisor.
- Manage and monitor the team’s social media account and general inbox and escalate any matters as appropriate and needed.
- Carrying out other duties in this regard as requested by the supervisor.
The mix of activities in this role varies in accordance with work priorities and can shift from week to week. Flexibility, versatility and resourcefulness are essential in our small team.
Key selection criteria
Essential:
- 2 years of experience as a Project Administrator or similar role.
- Hands-on experience with technical documentation and schedules.
- Solid organisation and time-management skills.
- Experience in data gathering and analyses.
- High levels of organisation and ability to handle multiple tasks, manage competing priorities and meet deadlines under pressure.
- Adaptability and the ability to work collaboratively and independently within a small team.
- Excellent written and verbal communication skills.
- Proficiency with office productivity tools and a willingness to learn new software and systems.
Desirable:
- Understanding of, and commitment to social issues of diversity, inclusion and gender
- Experience with MailChimp software
- Project management certification.
- Experience working in the not-for-profit sector.
- Knowledge of government and public policy processes.
Skills knowledge and experience:
- Exceptional communication skills, including written and spoken.
- A solid understanding of, and experience with, effective collaboration.
- A successful track record in supporting the implementation of change management projects, particularly with delivering change impact assessments, and stakeholder mapping and tracking.
- Planning, organising, managing and mobilising stakeholders.
- Event management.
- Inbox management.
- Data entry and gathering.
- Social media management.
