Due to industry growth and demand, a Full-time opportunity to join this long standing company in the position of a Project Administrator with an immediate start is available.
As an integral role within the company and responsible for reporting to the Operations Manager and Office Manager, the ideal candidate must possess and pride themselves on their ability to effectively and clearly communicate, be motivated and organised and the ability to be proactive.
About the role: Working cohesively alongside the Operations Manager, you will be responsible for ensuring the day-to-day scheduling and arrangement for works are organised in matter of urgency and monitored until completion, whilst liaising with key stakeholders and customers. In order to provide accurate information and knowledge you will be required to attend site/building inspections, as necessary.

SUPERVISOR/MANAGER: Operations Manager / Office Manager
MAIN DUTIES/RESPONSIBILITIES:
- Completion of job card documentation
- Job folder reviews – ensure anything completed by Kaitlin matches in simPRO and file
- Review and sending of ACP StreetPrint quotes and correspondence
- Conversion of quotes into jobs
- Processing variations, amendments or service job documentation (hard copy and simPRO)
- Follow up on documentation prior to works commencing (quote acceptance, purchase orders, contracts, contact details)
- O&M manuals, Form 16 and warranty documents
- Invoicing of completed works
- Maintenance of compliance with external companies and submission of required documentation
- SPOTLESS, GLENCORE and BAS portals – updates, invoicing and compliance/submission documents
- Compliance of job site access, licensing and inductions
- Periodic review and maintenance of SWMS/SDS documents etc
- HR issues and/or concerns (Management and staff)
- New staff hire and processing
- Aconex correspondence on larger projects
- Liaise with Cairns office when required (company creditors, contracts and larger projects)
- Preparation of ad-hoc correspondence at the request of Management
- Periodic review and/or audit of internal documentation (policy and procedures)
Qualifications:
- Year 12 Certificate or Equivalent
- Certificate III in Project Administration (desirable but not essential)
Experience:
- 3 year’s previous experience in a similar role / industry
Skills:
- Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
- Sound knowledge of simPRO job management software
- Sound knowledge of Xero Accounting software
- Excellent verbal and written communication
- Organised and able to meet deadlines
