The Role:
We are seeking a committed Administration Assistant to support the daily operations of our office located in Lilydale, Victoria. This role is vital for ensuring efficient administrative support and smooth operations within our fast-paced environment.
Job Description:
- Data Entry: Accurately enter and update customer information, payments, and other relevant data into the company's databases.
- Phone Handling: Professionally answer incoming calls, address customer inquiries, and provide appropriate assistance or direct calls to the appropriate team members.
- Accounts Receivable: Contact customers via phone or email to collect outstanding payments, maintain records of collection efforts, and provide excellent customer service during the process.
- Administrative Support: Handle various administrative tasks, including scheduling meetings, managing correspondence, and maintaining records.
- Office Maintenance: Keep office areas organised and ensure that all administrative supplies are stocked and maintained.
Requirements:
- Proven experience in data entry, administrative tasks, or customer service roles
- Excellent communication skills and the ability to interact professionally with customers and team members
- Experience with accounts receivable processes is favourable but not essential
- Strong attention to detail and accuracy in data entry and administrative tasks
- Ability to prioritize tasks, manage time efficiently, and meet deadlines
- Strong problem-solving skills and ability to handle customer inquiries and collections professionally
- Good knowledge of MS Office, particularly Excel & Teams
