The Executive Assistant will support the Chief Executive Officer, the executive team, office, and governance functions. This role is a full time and permanent opportunity that offers one day per week WFH.
About the role!
Executive Assistant
- Diary management, travel arrangement and meeting preparation for the CEO, including room setup and catering.
- Scheduling the annual program meetings and CEO's speaking engagements.
- Project coordination and management of internal and external events.
- Manage debtors, prepare monthly membership invoices and entering accounts payable in Xero.
- Preparing for monthly visit of contract bookkeeper including debtors, creditors and payroll.
- Review expenses and prepare financial reports for CEO as required.
- Prepare draft Board agenda and papers, prepare associated documents and papers for Board meetings and prepare draft Board minutes for Company Secretary.
- Manage the Annual General Meeting and Director Elections process including development of timetable in conjunction with the Company Secretary and ensuring compliance.

About you!
- Excellent time management and organisational skills with the ability to work to project checklists to achieve outcomes within deadlines.
- Outstanding written and oral communication and consultation skills, and proven ability to write concisely.
- Demonstrated ability to build and maintain high-quality and productive working relationships with the CEO, board and members.
- Intermediate computer literacy and knowledge of packages, including Microsoft Office, PowerPoint, Access, Excel and Adobe programs.
- Experience with Asana is desirable but not essential.
