About the role

The Executive Assistant / Document Controller will provide high-level executive administrative support services to the Chief Financial Officer and Executive Manager, Strategy and Digital.

This role involves confidential and comprehensive administrative support, including preparing reporting for the Board and Executive, and performing complex research tasks that require a sound understanding of organizational requirements. Additionally, the position will coordinate document control services for all policies, procedures, and other controlled documents for the organization, ensuring appropriate record management.

A typical day in the role may look like…

  • Managing the calendar/diary of Executive members as required
  • Coordinate executive, management, and team meetings, prepare agendas, take minutes and maintain action logs
  • Manage document control services for policies, procedures, and other documents
  • Manage and release policies, procedures and other controlled documents for review by relevant SMEs and approvers
  • Organise and coordinate functions and events in consultation with key stakeholders, suppliers and invitees
  • Ensure appropriate record management practices are followed

The ideal candidate will have: -

  • Proven experience as an Executive Assistant or a Document Controller 
  • Strong organizational and time management skills
  • Excellent communication and stakeholder management abilities
  • Proficiency in document management systems
  • Ability to handle confidential information with discretion
