Reporting to the General Manager Urgo Medical Australia, this role is responsible for delivering an effective administrative service for the overall business and assisting in marketing activities. The scope includes, but is not limited to, the preparation of agendas and minutes, taking appropriate follow-up action as required and planning of national Kick-Off and Mid-Year meetings. The incumbent shall support the team with the management of projects, gathering information and undertaking enquiries as and when is necessary for the business.
Administrative Support
- Provide administrative support to all team members, especially the marketing team and senior management
- Manage multiple diaries, scheduling, travel and accommodation arrangements, and logistics for marketing events, conferences, congresses and workshops, including the National Kick-Off and Mid-Year Meetings
- Assist in collecting and distribution of mails, taking stock of and ordering office supplies
- Raise purchase orders and look after expense reimbursements
- Liaise with finance department to ensure all invoices are processed in a timely manner
- Liaise with internal departments and external stakeholders to ensure effective communication and collaboration
- Respond to inquiries from clients, customers, and partners in a professional and timely manner
- Coordinate and manage the logistical aspects of onboarding new employees, including scheduling orientation sessions, preparing necessary materials, and ensuring a smooth transition into the organization
- Any other related duties as may be required
Marketing Support
- Assist in event management for both internal and external conferences and events including accommodation and travel management, stand design and coordination, conference/event agenda and briefing preparation.
- Liaise with internal and external stakeholders to gather input and insights for marketing strategies as well as in the co-ordination of marketing events and activities
- Coordinate the creation of online and print materials, including brochures, presentations, and digital content
- Assist with the preparation of reports by collecting, analysing, and summarising data from marketing activities and surveys
- Assist in the preparation and implementation of campaigns, product launches and promotions
- Manage digital platforms (social media, website, etc) and assist in the implementation of online marketing campaigns (social media and EDMs)
- Maintain organized and up-to-date marketing files, databases and contact lists
- Assist in the preparation of reports, presentations, and documentation
- Collaborate with the Brand Manager to ensure consistent and compliant branding across all marketing materials
You will be our preferred candidate if you have:
- 2+ years of experience in a similar role, preferably in the medical device or healthcare industry
- Tertiary qualifications in marketing or relevant discipline
- Strong organizational and multitasking abilities
- Excellent project management skills and ability to manage multiple priorities concurrently
- Ability to adapt to a fast-paced and dynamic work environment
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite, Adobe Creative Cloud and other marketing tools
- Knowledge of social media platforms and digital marketing strategies
- Proven ability to work collaboratively in a team environment
- Creative thinking and problem-solving skills
