ACT Curious aims to provide confidential and superior mental health counselling, both in person and via tele-health, to our valued clients, ensuring a kind, relaxed, professional environment where employees and clients are treated with respect, kindness and courtesy at all times.
We seek an enthusiastic, curious and committed Medical Receptionist and Appointment Scheduler with a 'can do' attitude to join our admin team. This role will involve managing front desk reception and the clinician's appointment schedules, liaising with clients face to face and over the telephone, supporting clinicians, and general administration duties. The successful candidate will work directly with the Client Services & Intake Manager.
The successful candidate must be reliable, adaptive and comfortable working in an effective team. You will be the first point of contact for all clients and health professionals, so a high level of emotional maturity is required. Confidentiality is paramount at all times.
You will be directly responsible for the following:
-Delivering exceptional customer service to our clients and handling all enquiries and correspondence promptly and professionally
-Greeting clients in a professional and friendly manner, ensuring a positive experience
-Answering enquiries by phone and email and being the first point of contact for the business
-Scheduling appointments and daily proactive appointment book management
-Confirming appointments and amending appointment times and dates as required
-Arranging intake referrals and contacting and scheduling newly referred clients
-Completing and following up on quotes and invoices
-Preparing accounts and managing patients' billing, receipting and Medicare rebates, and follow-up unpaid invoices.
-Assisting clinicians with day-to-day administrative support and working closely with other team members to manage daily tasks in person and remotely
-Processing and releasing medical documents such as medical reports as requested
-Ensuring client records are up-to-date, including intake forms, referrals and correspondence, and assessment questionnaires
-Opening and closing of the office
Essential Criteria:

-Confident communication skills and the ability to effectively liaise between staff, clinicians and clients
-Proven ability to be psychologically flexible and adaptable during the change process
-Excellent problem-solving skills with a common-sense approach to tasks
-Strong organisational skills and reliability, and good attention to detail
-Reliable and dedicated work ethic and positive attitude
-Experience in medical or allied health reception is required
-Ability to confidently manage the appointment schedule and client queries, unsupervised
-Several years experience working as a Medical Receptionist is required
-Experience in mental health and counselling of psychology practice is also advantageous

The hours are Monday 9:00 am - 5:00 pm; Tuesday 9:00 am - 5.00 pm; Friday 9:00 am - 5:00 pm.
We are willing to discuss these hours, pay rate and be flexible with the right candidate. (Casual role to be reviewed at 6 months for permanent position).
