JOB TITLE: Office Administrator
JOB TYPE: Part Time 15 hours
LOCATION: 430 Queensberry Street North Melbourne Vic 3051
SUPERVISOR: Responsible to the Vicar and work closely with the Honorary Treasurer and Churchwardens.
OFFICE ADMINISTRATOR AIMS
To provide administrative support for the vicar, churchwardens and treasurer
To ensure the smooth running of parish administrative processes, including the preparation of liturgical resources, financial documentation, and property administration
To ensure accurate record keeping and compliance with diocesan and other requirements, as directed
MAIN DUTIES/RESPONSIBILITIES:
General office administration, including filing and maintaining files
Work with the Parish Bookkeeper (using Xero), including banking and preparing payments for approval and signing
Preparation of the weekly pew sheet and other publications
Website updating
Printing, collating, and copying
Maintenance and updating of parish lists and rosters
Residential tenancies management, in consultation with the churchwardens and estate agent
Direct management of all hall hire
Maintenance of security system and key register
Administrative support for special events (major services, parish fair, fundraising and social events)
Ordering materials and services for all aspects of the property including office, hall, church, and vicarage.
Liaising with other staff and contractors
Caretaker tasks as required
Direct contact with members of the Parish, various associated organisations, especially St Mary’s Kindergarten, and members of the local community on a regular basis.

SKILLS & EXPERIENCE
Essential:
Proficiency in the use of Microsoft Office, particularly Word, Publisher and Excel
Proficiency in the use of email programmes, including list administration
Proficiency in the use of Xero accounting software, or an equivalent accounting program
A systematic and efficient approach to filing, both on computer and filing system
Demonstrable skill in establishing and executing business administration processes
Familiarity with liturgical tradition
Strong interpersonal skills
The ability to act both independently and as part of a team
Desirable:
Experience in website content management
Experience in creating and maintaining simple databases
SELECTION CRITERIA:
Demonstrate work experience in a similar role
Strong organization skills with demonstrated ability to prioritise competing tasks
Proven ability in dealing with people in a respectful, sensitive, and proficient manner
High interpersonal and communication skills (both written and oral)
Bookkeeping or similar financial experience, using Xero or similar
Demonstrate computer skills as outlined
Demonstrate willingness and ability to provide attention to detail
TERMS AND CONDITIONS:
The salary for the post is based on Level 4 Clerks (private sector) Award
Annual Leave, superannuation and other entitlements will be calculated pro rata
A probationary period of three months will apply
