The Project Management Office (PMO) Coordinator plays a key role in supporting the Project Management Office's operations, processes, and initiatives. This role involves coordinating project-related activities, maintaining documentation, providing administrative support, and facilitating communication within the PMO and across project teams. 

What you’ll do

  • Provide administrative support to the PMO, including scheduling meetings, coordinating travel arrangements, and managing communication within the team.
  • Organise and coordinate PMO meetings, including scheduling, preparing agendas, and taking meeting minutes and ensure that action items from meetings are tracked and followed up on in a timely manner.
  • Maintain PMO documentation, including project plans, status reports, and other project-related records.
  • Assist project managers with the coordination of project activities, ensuring that timelines, budgets, and resource allocations are adhered to.
  • Track project milestones and deliverables, alerting project managers to potential risks or delays.
  • Facilitate communication between project teams, stakeholders, and other relevant parties.
  • Compile and distribute regular project status reports, ensuring accuracy and timeliness.
  • Support the preparation of presentations, reports, and other documentation for project reviews and stakeholder meetings.
  • Maintain the PMO's document management system, ensuring that all documents are current and easily accessible.
  • Ensure that project processes and documentation comply with PMO standards, policies, and regulatory requirements.
  • Assist in quality assurance activities, including process audits and project reviews.
  • Assist in managing project resources, including maintaining resource allocation records and coordinating with project managers to address resource-related issues.
  • Support onboarding and training for new team members, ensuring they understand PMO processes and expectations.
  • Contribute to the continuous improvement of PMO processes and workflows by identifying areas for enhancement.

  • Qualification and/or certification in Business Administration or Project Management, or a related field (or relevant equivalent experience)
  • Sound experience in a project management or administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management software (e.g., Microsoft Project) is a plus.
