The Opportunity

Our client is a distinguished Melbourne-based family office that has emerged as a venerable institution and earnt its successes by seamlessly blending a rich legacy with a forward-thinking approach to wealth management. Operating with precision and discretion, the office is nestled in Melbourne's inner suburbs, conveniently located close to public transportation options, and with onsite parking available. 

On offer is a newly-created Reception and Office Administrator role, which will ensure the smooth running of the office operations daily. Working closely with a tenured Executive Assistant, you will be exposed to ultra-high net worth individuals and will be comfortable liaising with senior executives.
  
The Responsibilities

  • General reception duties including monitoring the door, greeting visitors, sorting and distributing mail and screening and managing incoming telephone call;
  • Liaise with the external IT service provider, including troubleshooting IT issues;
  • Diary management including coordinate and set up in person and VC meetings for the Investment teams;
  • Assist the Executive Assistant with coordination of maintenance personnel and ad hoc personal errands/requests for the family;
  • Maintain tidiness in all spaces, including reception, executive meeting spaces and kitchen, and maintain stock levels of all executive and staff amenities required;
  • Discreet handling of information.
The Expertise
  
The successful candidate will possess experience as a Receptionist, Office Administrator, or Personal Assistant ideally with exposure to the financial services industry and/or a family office environment. We will be seeking tenure, maturity, and a discreet nature, along with excellent communication skills and attention to detail. You will possess an intermediate understanding of MS Office Suite, with a high level of efficiency and interest across platforms including Zoom, Apple products and Google Suite. 

A driver's licence and vehicle are essential for this role.
