The Opportunity
The TFI capital projects and engineering team is currently being expanded to bolster support for the upcoming exciting projects in the pipeline and are looking for an experienced Project Administrator.
As the cornerstone of project documentation, control, and review, the Project Administrator will collaborate closely with the Group Engineering and Capital Program Manager, site and finance teams, project managers, project engineers, and other stakeholders. Their primary objective is to maintain up-to-date document folders and databases, ensuring systematic storage for effortless future reference.
This pivotal role involves coordinating the progress of multiple projects running concurrently, spanning various stages from conception to finalization. The Project Administrator will play a crucial role from tendering through to handover documentation, fostering collaboration among key internal and external stakeholders for seamless project execution.
Key Responsibilities
- Establishing and overseeing the document control process for each project, ensuring efficient management of documentation flow.
- Coordinating the exchange of documentation between vendor and contractor-led design teams and the TFI engineering team.
- Maintaining centralized documentation files with the latest revisions and managing the archival of superseded drawings and documents.
- Establishing and maintaining a central filing system for correspondence, reports, memos, and other project-related documentation.
- Documenting the final scope of work to facilitate tendering/quotes from multiple vendors for the project.
- Compiling CAPEX documents with the team-agreed and reviewed project scope, quotations, and timelines for TFI Board approval.
- Reporting project status, issues, or risks related to deliverables and KPIs to the Group Engineering and Capital Program Manager.
About You
- Relevant vocational or tertiary qualifications in relevant discipline - e.g. Certificate IV Business
- 5 years' experience as Project admin with construction and Engineering projects including preparation of reports, spreadsheets and correspondence.
- Experience in administrative procedures and systems including document control, data entry and file management.
