Our client is looking for a well-rounded and experienced Executive Assistant to provide high level support to the CEO and small executive team within a growing ASX listed mining company.
This is a pivotal role that requires exceptional time management and organisation skills as well as the ability to anticipate needs and balance competing deadlines.
Your day to day will entail the typical functions of a strong EA, providing high level admin support to the Execs with preparation of documents, assisting with presentations, diary and travel management, organising schedules and meetings and assisting with research on special projects.
Key responsibilities of this role include:
- Managing the calendar and emails of the Managing Director.
- Coordinating travel arrangements for the business, negotiating with preferred travel providers to secure competitive rates.
- Assisting the Company Secretary in the preparation of Board and Board Committee Agendas, ensuring timely distribution of Board meeting packs.
- Keeping the company files up-to-date in collaboration with the Company Secretary.
- Facilitating the signing and filing of legal agreements, updating legal registers, and supporting the General Counsel with monthly reporting.
- Providing secretarial support for executive meetings, including the distribution of agendas, maintaining action registers, and ensuring minutes are recorded, approved, and distributed.
- Assisting with marketing, branding, investor relations, website maintenance, and event coordination as required.
- Preparing, reviewing, and formatting internal and external corporate documents.
- Leading the development and implementation of streamlined administrative processes.
- A minimum of 5 years' experience in a similar role.
- Experience in an ASX-listed company, ideally in supporting a company secretary.
- Expertise in the preparation of Board reports, company reports (including monthly reports), presentations, announcements, and corporate communications.
- High proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
- Exceptional attention to detail and strong word processing, formatting, and document control skills.
- Proactive initiative and excellent organisational abilities.
- A friendly and collaborative approach to teamwork.
